As a specialty construction and engineering firm with a workforce that fluctuates between 1,000 and 2,500 employees depending on project demands, Orion Group Holdings faced increasing challenges managing its print environment across multiple locations.

Solution

The implementation of MyQ X Ultimate edition introduced secure pull-printing across the organization, requiring employees to authenticate using their credentials, key fobs, ID badges, or PIN codes before documents are released. This eliminated unattended printouts while allowing users to securely retrieve documents from any authorized device. 

MyQ X also provided a centralized dashboard for managing the company’s multi-function printer fleet. Automated printer provisioning simplified deployment and maintenance, while proactive email notifications alerted administrators to printer issues and low toner levels before they disrupted operations. 

To improve financial oversight, OGH implemented rule-based printing and project accounting capabilities. Print, copy, and scan costs can now be accurately assigned to specific projects, jobs, or accounting codes, providing greater transparency and helping improve future project estimates. 

In addition, the company began leveraging MyQ X’s intelligent document workflows to automate scanning processes. Employees can securely capture, process, and route documents to predefined destinations, reducing manual handling and minimizing the risk of miscommunication.

The impact of the deployment was immediate, with benefits starting from day one and full operational improvements expected within the first 90 days. 

The introduction of secure pull-printing is projected to reduce paper and toner waste by more than 30%, helping lower operating costs while supporting sustainability goals.  

At the same time, the organization has significantly strengthened document security by ensuring sensitive contracts, financial reports, and project documentation are only released to authorized users.
