Beyond scanning: Building smarter document workflows with cloud storage, OCR, and workflow automation

A document is scanned, emailed to someone, downloaded, renamed, uploaded into a folder, and sometimes manually entered into another business system.

The process works; but it introduces unnecessary steps, consumes valuable time, and increases the risk of documents being misplaced or stored inconsistently. 

Our analysis of frequently asked questions and discussions from channels show that organizations are increasingly looking for better ways to manage document workflows.

Questions about cloud scanning, Optical Character Recognition (OCR), metadata, and workflow automation appear frequently, reflecting a shift away from basic scanning toward more connected and automated processes.

The goal is no longer simply to digitize paper documents. It’s to ensure information reaches the right destination, in the right format, with the right context.

Modern scanning is about moving information, not files

Rather than creating a PDF that someone must process manually, today’s document workflows can automatically route documents to cloud storage, convert them into searchable files, capture additional information, and integrate them into existing business processes.

This approach reduces manual handling while making documents easier to find, organize, and share.

Send documents directly where they belong

Instead of scanning to email or saving documents temporarily on local computers, users can scan directly to their preferred cloud storage from the multifunction device.

MyQ supports cloud scanning destinations including:

Additional destinations such as network folders, FTP servers, custom destinations, and email are also available to support different business requirements.

Direct delivery means documents arrive where users expect them, reducing manual uploads and helping organizations maintain consistent document storage practices.

Availability on MyQ X and MyQ Roger

The full destination list above applies to MyQ X. MyQ Roger currently supports scanning directly to OneDrive, Google Drive, SharePoint (with the appropriate license), Microsoft Teams, and email from the printer itself; Dropbox, Box, iCloud, and "scan to phone" are available through the MyQ Roger mobile app rather than from the device. Amazon S3, network folders, and FTP destinations aren't currently offered on MyQ Roger. 

Cloud integrations fit naturally into existing workflows

Whether teams collaborate through Microsoft 365 or Google Workspace, users increasingly expect scanned documents to appear alongside the rest of their digital content. 

MyQ supports scanning directly to services such as SharePoint Online, OneDrive for Business, Google Drive, and Google Drive for Workspace. Administrators can configure scan destinations centrally, while users authenticate their own cloud accounts to ensure documents are delivered securely to the correct location.

Depending on the configuration, users can also browse folders directly from the multifunction device before completing the scan, making it easier to file documents correctly the first time. 

OCR makes scanned documents searchable

Without Optical Character Recognition (OCR), searching for a contract, invoice number, customer name, or reference inside thousands of scanned PDFs becomes almost impossible.

OCR solves this problem by recognizing printed text within scanned documents and producing searchable output.

Within MyQ, OCR can convert scanned documents into searchable files while supporting multiple output formats through configurable OCR profiles. These profiles can then be incorporated into Easy Scan workflows to standardize document processing across the organization.

Availability on MyQ X and MyQ Roger

On MyQ X, OCR runs through the dedicated MyQ OCR Server, a free, self-hosted component (built on the Tesseract engine, supporting 60+ languages) that plugs into Easy Scan workflows.

On MyQ Roger, OCR is built into the mobile app and is also starting to appear as a scan setting directly on supported printers (it's now the default on supported HP models); there isn't a separate, standalone OCR server product on MyQ Roger the way there is on MyQ X.

Metadata gives documents business context

Many business processes rely on information such as invoice numbers, customer names, project codes, purchase order references, or department identifiers to organize documents correctly.

This information is known as metadata. 

MyQ allows organizations to capture additional information during the scanning process. Depending on the workflow, users can enter values such as invoice numbers, due dates, totals, currencies, or other business-specific information before the document is delivered to its destination. These values can then accompany the document within the destination system, making classification and retrieval significantly easier.

Adding metadata at the point of capture helps organizations establish more consistent document management practices without requiring additional manual processing later.

Availability on MyQ X and MyQ Roger

The metadata capture capability is documented for MyQ X. MyQ Roger's workflow parameters cover technical scan settings like duplex, resolution, paper size, and format, but not custom business metadata fields.

Automating repetitive document processes

An employee authenticates at the device, selects a destination, adjusts scanning options, enters the same information, and repeats the process dozens of times.

Workflow automation removes much of this repetition.

With MyQ Easy Scan, administrators can create predefined scanning workflows that combine multiple actions into a single user operation. Instead of configuring every scan manually, users simply select the appropriate workflow and MyQ applies the required settings automatically before delivering the document to its destination.

Depending on business requirements, workflows can include predefined scan settings, cloud destinations, metadata collection, OCR processing, and document routing.

This not only improves efficiency but also reduces user errors by ensuring documents are processed consistently across the organization.

Standardization benefits both users and IT

Without standardized workflows, users often develop their own habits for naming files, selecting destinations, or configuring scan settings. Over time, these differences make document management more difficult and increase the likelihood of misplaced information.
